Abstract
Correspondence management at Universitas Pembangunan Nasional "Veteran" Jakarta (UPNVJ) still relies on manual and fragmented processes using consumer platforms such as Google Forms and Google Sheets, leading to the absence of integrated document tracking, high human error risk, and no centralized digital archive. This study develops a web-based electronic correspondence system called OneOffice as an integrated solution using the agile development method. The system is built with NestJS and PostgreSQL on the back end, and integrates the Google Docs API for document generation, Keycloak for authentication management, and Redis for caching. Key features include incoming and outgoing letter management, digital disposition, real-time status tracking, automatic letter numbering, and electronic signatures. The system has undergone white box testing, black box testing, and user acceptance testing involving UPNVJ stakeholders. The results show that OneOffice successfully transforms manual administrative processes into a structured, transparent, and efficient workflow, while supporting UPNVJ's digitalization agenda under the Electronic-Based Government System (SPBE) framework.
