Abstract
Academic guidance is a vital service that supports students in addressing academic challenges and career development. However, the process often faces obstacles such as time constraints, accessibility issues, and inefficient communication between students and academic advisors. This study aims to design and implement a chatbot website to facilitate interaction in academic guidance services. The system was developed using the Agile Scrum methodology to ensure an iterative, flexible, and user-centric development process. Testing was conducted using User Acceptance Testing and Blackbox Testing. The UAT results showed that features such as the chatbot powered by GPT-3.5 Turbo, notifications through WhatsApp Gateway, and conversation history recording significantly improved communication efficiency between students and academic advisors. Meanwhile, Blackbox Testing confirmed that all key features functioned as specified without significant errors. The system’s key features include conversation history recording, consultation scheduling, notifications, and flexible accessibility. The system effectively streamlines coordination, enhances communication efficiency, and provides a more structured academic guidance service. With an intuitive interface and relevant features, the system was well-received by users. Future developments, including additional features, broader integration, and regular evaluations, are expected to maintain its relevance and support innovation in academic guidance services within higher education institutions.
